• Admin assistant                     
Job Description

• Ensure proper receiving and issuance goods
• Ensure all inventory transactions are updated promptly in the system to reflect accurate stock records
• Check, update and order stocks on regular basis
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
• Perform proper record keeping and control stock movement
• Verify invoices before forwarding for payment processing
• Ensure to receive payments from customers 
• Update supplier invoice file, ensuring the relevant documents are inside (PO, DO and invoice)
• Ensure cheques or cash coming in is banked in
• Generate PO from supplier invoices
• Prepare and monitor invoices
• Provide assistance to the customer’s relevant queries and requests
• Maintain & update contact lists on regular basis
• Assist in the preparation of regularly scheduled reports
• Research and creates presentations, posters and EDMs
• Participate in events and roadshows to promote the company products
• Cover the reception desk when required
• Reply to email, telephone or face to face enquiries
• Perform good housekeeping
• Perform ad-hoc duties as assigned

Requirements

• Minimum diploma in Business Administration or related disciplines
• At least 1-year admin support experience. Training would be provided.
• Resourceful, good organisational skills, familiarity with office management procedures and MS Office applications
• Excellent communications and interpersonal skills
• Able to work with minimal supervision.
• Be flexible and accessible during peak periods of work
• Detail-oriented, ensure accuracy of information
• Able to work with people of all cultures and backgrounds
• Quick Learner
